Position Summary

Assist transplant coordinators in all phases of transplant: pre-transplant evaluations- material and chart preparation, scheduling of studies and consults, retrieval of studies, tracking of required updates, organizing information and database assistance. Performs medical assistant functions in the renal transplant clinic - vital signs, follow up appointment testing and procedure tracking/scheduling. Retrieving and recording labs, assisting with patient phone calls and general assistance to transplant coordinators.  Works closely with the transplant team to make sure charts are prepped for Patient Selection Committee (Recipient, Waitlist and Living Donor) and Transplant Transition Meetings and others as necessary.

Responsibilities

  • Schedule or assist with scheduling all evaluation patient diagnostic studies and physician consults. Schedule renal biopsies with radiology and admissions

  • Notify patients of upcoming appointments and provide instructions

  • Assist with transplant clinic: Obtain copies of insurance cards, record vital signs and obtain weights of patients in clinic. Communicate changes in patients' medical status to nurse coordinator and physician

  • Retrieve and record laboratory test results in patient charts. Retrieve results of diagnostic studies performed at other facilities

  • Assist nursing staff with all communications.  Reads, researches and routes correspondence: drafts letters and documents, collects and analyzes information and initiates communications (such as monthly dialysis unit letters)

  • Participate in standing patient care meetings.  Records meeting discussions by attending meetings and accurately recording key discussions and conclusions (Patient Selection Committee mtgs., Transition Meetings and others)

  • Collects information, coordinates preparation of reports, analyzes data and reviews potential solutions with management

  • With manager approval, creates and revises systems and procedures by analyzing operating practices, record-keeping systems, forms control, supplies inventory and office layout

  • Ensures operation of equipment by completing preventative maintenance requirements, calls for repairs, maintains equipment inventories and evaluates new equipment and techniques for managers' review

Minimum Requirements

  • High School Graduate/GED required

  • Two years work experience in a medical office setting required

  • Medical Terminology course completion preferred

  • Verifiable part-time and/or volunteer experience will be pro-rated toward meeting full-time experience requirements

  • One to three years experience in a medical office or hospital setting is required
