Responsibilities

  • Provide daily management and guidance to staff responsible for referrals and authorizations:
  • Responsible for coordinating the overall functions of central referral office for adherence to all rules and regulations.
  • Assure that all policies and procedures and control functions pertaining to all areas are being followed so that confidentiality is not breached.
  • Prepares reports on new process and/or regulatory changes.
  • Maintains current knowledge of the local, state and federal government regulations and contractual agreements between the hospital and other third party payers. Communicates the impact of these agreements on referral processes and reimbursement to staff.
  • Provides feedback to staff on any issues reported by participants of the CRO.
  • Recommends and develops new procedures to improve the quality and quantity of referrals that can be processed by CRO staff.
  • Work closely with Ambulatory Revenue Cycle team to ensure maximum use of practice management system to streamline referral processes.
  • Lead regular meetings with clinic mangers whose departments use the CRO for patient referrals.
  • Evaluate and monitor referral numbers and assist operationally in determining which VMG clinics will participate in the CRO.
  • Assists in the preparation of the annual budget process to determine manpower, material and capital resources necessary for operational effectiveness for the department; monitors approved budget and investigates/reports variances on a monthly basis.
  • Other duties as assigned such as projects or reports.
  • Completion of staff performance appraisals in a timely manner, staff appreciation events, verbal and written staff coaching , conducts staff huddles and meetings, attends VMG and other corporate sponsored events, participates in organizational and leadership development courses.
  • Manage attendance policy, develop work schedules, manage coaching for performance plans.
  • Promotes Vidant Medical Group missions and goals regarding customer service and quality and participates in PI activities and all other duties as assigned by Manager/Administrator of Patient Access Services.
  • Ensures customer service is a priority in the department and fosters a customer service orientation in all external and internal interactions.
  • Handles all interactions in a professional, courteous manner using tact and diplomacy to satisfy customers.
  • Respects the patient’s right to confidentiality in all areas.
  • Participates in the PI process. States how their job fits into the big picture and suggests ways to improve customer service.
  • Demonstrates a cooperative, helpful attitude using teamwork to ensure quality to the patient, other team members, managers and administration.
  • Participates in all education and safety requirements.
  • Ensures all employees complete the annual safety requirements in a timely manner.
  • Maintains a safe environment by reporting any safety problems immediately to the appropriate person.
  • Knows and understands role in case of fire, code blue, disaster, or any other safety issue. Knows and understands VMG policies and workplace safety rules.
  • Identifies education opportunities pertinent to current position to enhance job performance.
  • Willingly accepts new ideas for improving technical aspects of job performance, and actively participates in hands on learning in the department.

Minimum Requirements

  • High School plus 2 years of formal training/education
  • Associates Degree required in Business, Finance, Accounting or related field. 
  • 3 to 5 years experience required in a Hospital/physician office/other medical billing office setting with experience supervising or coordinating referral activities, with at least 2 years of supervisory experience. 
  • 2 additional years or experience may be substituted for the education requirement.
