Position Summary

The Coordinator, Projects & Production position is an entry-level position that requires a detail-oriented, innovative and forward-thinking marketing & communications professional who is passionate and driven by excellence in a team environment. The Coordinator is solution-focused, well-organized and finds high value in building relationships across teams. Understanding the value of marketing & communications, this individual supports local and system-wide strategies, messaging and channels, across the health system by ensuring the production of department's creative, video and digital products/projects are delivered on-time and within budget.

This position reports to the Manager, External Communications (Creative, Video and Digital) and is a member of the Marketing and Communications team.


  • Reviews new project requests to ensure complete information (through discovery process) prior to production scheduling; identifies gaps and communicates with requester as appropriate.

  • Collects, files and serves as point of contact for scopes of work (SOWs), production estimates and invoices.

  • Creates and manages production schedules for internal and outsourced projects.

  • Alerts manager and team members of any job/project changes, problems or situations that may result in errors, deadline delays, etc.

  • Coordinates client proofs including a gap analysis of project details.

  • Thoroughly and accurately proofreads all creative and manages proofing process to ensure completion in a timely manner.

  • Collaborates and coordinates creative, digital, video and print production services throughout the lifecycle of the project.

  • Coordinates delivery of creative to media to needed outlets.

  • Coordinates video production filming, including scouting locations, scheduling interviews, securing and managing proper releases and assisting video production team as needed. 

  • Supports digital efforts, including creating and posting content across digital platforms, including social media, website, email marketing, signage and intranet.

  • Serves as liaison on behalf of clients with external vendors of marketing collaterals and premiums.

  • Works directly with department representatives and Marketing Team from subsidiaries, community hospitals and medical practices on reprints and revisions to established printed materials.

  • Ensures all completed projects are tagged and stored appropriating within the MarComm storage tools.

Minimum Requirements

  • Bachelor's degree in Marketing, Communications, English, Journalism, Public Relations or similar discipline

  • One to three years of experience in a communications, marketing or related function

  • Excellent written and verbal communication skills

  • Must be a creative thinker, self-motivated and have the ability to thrive in a high-energy, fast paced, positive, team-spirited environment that often involves a heavy workload

  • Ability to work independently and as part of a dynamic, fast paced team

  • Key qualities include high energy, positive attitude, team player, self-starter, highly organized with the ability to multi-task, while meeting tight deadlines

  • Proficient in all Microsoft Office programs including Word, Excel, PowerPoint, Outlook and Publisher
