Vidant Medical Center is a 900+ bed Level-1 Trauma Center, regional referral hospital and is the flagship hospital for Vidant Health. The Program assistant will coordinate program support for centralized Center for Learning and Performance programs.  Duties would include but not limited to; entering Program Work Requests in LearnCenter, link classes to webpage and run LearnCenter reports. Respond to LearnCenter emails, corresponds with program facilitators and faculty confirmations. Prepares rosters and maintains drop/adds, write up agendas, orders printed materials or books, prepares evaluations and summaries for program facilitator. Maintains various databases, may arrange meetings and appointments. Receives payments for classes, sends receipts, maintains revenue account log; meeting minutes, copying, scanning, filing, room scheduling and equipment reservations. Lock-up of classrooms and trailers, complete general plant operations requests, iSupport tickets and/or order audiovisual equipment for presentations. The Program Assistant covers for receptionist when out.  

Responsibilities  

Collaborates with Manager and program staff to achieve program objectives and overall department mission. Participates in weekly program meetings concerning budget and program progress, assists with budget preparation and monitoring, participates in program meetings concerning specific department activities and attends monthly staff meetings to discuss overall program.

Assists with data collection, data entry, and other computer needs supporting department objectives as appropriate. Maintains databases and monitors compliance with training requirements. Assists with website development as appropriate.

Assist with the Development of Department Activities. Supports the Manager and program staff, prepares various reports, materials, policies, develops and gathers materials for program promotion and education. Supports program staff in preparation for events, meeting preparation, outreach activities, monitors compliance with department requirements. 

Assists with training, licensing needs and tracks, and orders department supplies.

Represents program to internal and external contacts. Develops relationships with program directors and coordinators and acts as a liaison. Serves as resource to program directors and program coordinators.

Assists with developing and monitoring program budgets as appropriate. Assists with budget monitoring, preparing forms and records for budgets and purchases.

Requirements

High School plus 2 years or more of formal training or education

2 to 3 years experience as an Administrative Assistant, Program Assistant, Database Support or related.

At least 1 year of experience with web based applications highly recommended.

One year of  related experience, beyond three years may be substituted for 1 year of the required education, with a maximum substitution of two years.

Other Information

Full-time position 40 hours week. 8:00am - 5:00pm Monday - Friday (other hours as needed).
