Position Summary

The Executive Assistant for the Office of the CMO provides services essential to the mission of the organization and the day-to-day operation of the Executive's office. This support extends to the organization's Board Committees and other special committees and task forces as determined by the Executive. This position also supports the activities of the executive, maintaining positive, professional relations with partners, colleagues and other organizational contacts made in the normal course of conducting Vidant Health work.

Essential Job Functions:

  1. Executive Support: Manages the day-to-day administrative affairs of the Executive’s office, requiring competencies in interpersonal skills, knowledge of operations, problem solving, planning and organizing, written communication, information and record administration, to assure the effective and efficient operation of the office.  Assumes responsibilities as designated by the Chief Medical Officer.
  1. Communication/Planning/Organization – Ability to clearly convey information and ideas to individuals or group while working collaboratively within a team setting.  Demonstrates understanding and awareness of hospital service lines, policies and procedures, and rules and regulations that impact the mission of the organization. Ability to present ideas clearly and effectively in written form, ability to edit to meet needs of the audience.
  2. Problem Solving:  Demonstrates ability to identify and understand issues, problems and opportunities; determine course of action and develop appropriate solutions. Ability to develop ideas into plans of action and coordinate the actions through implementation.  
  3. Information/Administration/Budget - Ability to compile, assimilate, organize and analyze printed and electronic information to apply knowledge. Full responsibility for monitoring, tracking and trending CMO Administrative cost centers. Utilize critical thinking and problem solving skills to identify areas of cost savings and present ideas to leadership. Correspond and ensure budget targets are met or exceeded each fiscal year.
  1. Collaboration across organization: Collaborates with leaders throughout the system to create and maintain the desired leadership culture, as well as support organizational systems, processes, procedures and team dynamics. Partners with Entity leaders, clinical leadership and shared services partners to establish, develop, execute initiatives to advance organizational imperatives.
  2. Project Management: In partnership and support of Executive, coordinates special projects and strategic initiatives. Completes research and organizes information into presentation, executive summaries, and project plans. Coordinates programs of work within the CMO portfolio. Understands metrics both qualitative and quantitative data to thereby effectively coordinate efforts of project teams.
  3. Relationships: Establishes and cultivates supportive relationships with Vidant Health team members at all levels, maintaining a high degree of trust, confidence and credibility. Serves as an extension and ambassador of the executive.

Minimum Requirements

  • H.S. graduate with two additional years of education required. 

  • Degree in Secretarial Science or Business Administration required. 

  • Three to five years of executive level administrative support required.

  • An additional four years of experience beyond the required three to five years may be substituted for the required two years of education.

  • Baccalaureate degree preferred.

  • Healthcare experience preferred.
