Position Summary

The Pharmacy Business Manager is responsible for oversight of the procurement of medications for patient care, medication billing integrity, adherence to purchasing contracts, and development of strategies to meet budgetary goals. In addition, this individual will be intimately involved in VMC's 340b drug purchasing program. The Pharmacy Business Manager reports to the Pharmacy Administrator and supervises Pharmacy storeroom staff, as well as the Accounting Coordinator.

Responsibilities

Procurement, Storage, Distribution:

  • Oversees the accurate and timely procurement, storage and distribution of medications and supplies needed for patient care in accordance with Pharmacy and hospital guidelines, as well as state and federal procurement laws.
  • Works closely with 340b Coordinator, AD Operations, IT and CBO to insure compliance with 340b medication purchasing regulations.
  • Interfaces with medication waste vendor and in concert with other Pharmacy leadership, develops a robust program to reduce medication waste.
  • Identifies cost savings opportunities and facilitates implementation of strategies with members of Pharmacy leadership. Maximizes rebates and credits from manufacturers.
  • Works with Pharmacy IT team and VH pharmacy directors to standardize medication formulary.
  • Intercedes when necessary to procure difficult to obtain medications due to national shortages, wholesaler problems, etc. Insures proper medication alternatives are provided, when necessary. Notifies Pharmacy leadership, DI Specialist and Medication Safety Officer of critical shortages with suggestions for alternative products.
  • Insures that all attempts are made to comply with GPO agreements and that GPO pricing is loaded at the wholesaler level. Assures appropriate 340b, GPO and WAC accounts are established with pharmaceutical vendors and that medication purchases are determined by a combination of criteria including price, quality, service and availability.
  • Critically evaluates vendors for out-sourcing of pharmaceutical products.
  • Coordinates and supervises annual medication inventories. Approves all medication invoices.
  • Serves as liaison between pharmaceutical wholesalers and Pharmacy Department.

Inventory:

  • Is adept in the use of the department's medication inventory system including an understanding of medication transfers within the department.
  • Provides strategic management of inventory levels for medications and supplies in order to ensure timely reordering with limited stock-outs. Ensures par levels are chosen with goal of minimizing inventory costs while having appropriate stock for the treatment of patients.

Budget:

  • Provides detailed reports focused on medication cost and revenue metrics to Pharmacy and Hospital Leadership.
  • Participates in determining pharmacy budget and along with other pharmacy leadership, is accountable for adhering to budgetary goals.
  • Shares responsibility with CBO in determining appropriate billing information for medications added to VMC formulary.
  • Responsible for personnel management of Pharmacy storeroom staff and Accounting Coordinator.

Minimum Requirements

  • Four year degree in Business Administration, Finance or Health Care Administration required.

    Master's degree in Pharmacy, Business Administration, Finance or Health Care Administration preferred.

  • One to three years experience with Finance preferred.

    One to three years experience as supervisory/mananagement experience preferred.

    One year of Hospital Pharmacy Supply Chain experience is preferred.

    Mastery of MS Office and advanced analytic reporting highly desirable. Excellent communication skills are essential.

    Experience with split billing 340b system is highly desirable.
