Position Summary

  • The Administrative Secretary acts as a personal secretary to a chairman of a department or to an Administrator with responsibility over multiple cost centers.
  • Handles communications and acts as receptionist.
  • Types and processes various materials.
  • Performs office/administrative duties.
  • May coordinate/direct duties and activities of various lower level clerical positions.
  • Maintain and ensure correct work order transactions for each item movement type.

  • Make transactions on a timely basis for all: Receipts, Issues, and Cycle Counts.

  • Help maintain cleanliness and orderliness of the parts warehouse.

  • Ordering parts accurately for maintenance personnel.

  • Ensuring all invoices are up to date and paid with vendors.

  • Assist with keeping track and entering work orders, Preventative Maintenance Schedule.

  • Assist the Maintenance Supervisor with reporting, filing, and other administrative functions.

  • Assist facilities as required to support special projects.

  • Operate independently with extreme accuracy using above average written and verbal skills.

  • Performs other duties as assigned.

Minimum Requirements

  • High School plus no less than 1 year of formal training or education in Secretarial Sciences, Business or Accounting required.

  • Computer skills to include Word and Excel.

  • More than 2 years of progressively responsible secretarial experience. One additional year of secretarial science course work from a community or business college may be substituted for 1 year of the required.

  • Experience with a maximum substituted of 2 years.

  • Must be able to lift up to 50 lbs. without automation or mechanical assistance.

  • Must be able to move inventory in and out of locations using hand and arms, and often kneeling or bending.

  • Must be able to work various times and shifts based on Hospital demands which may include weekends, holidays, and evenings.

  • Ability to use MS Office, PC, Scanner and to learn relevant WorxHub functions to do this job.

Preferred Requirements

  • Experience in a manufacturing environment, hospital administrative, maintenance support function preferred.
